Keeping Engineering Teams Connected Through Microsoft Exchange 2016 EOS

06 Feb 2026

About “The Customer”

The customer is a Hong Kong–based engineering and professional consultancy firm with over 200 professional and support staff, delivering consultancy services across multiple regions. Its work spans complex, multi‑disciplinary building and engineering projects, requiring close collaboration across internal teams, external consultants, and project stakeholders. As a result, email and collaboration platforms are critical to daily operations.

Given the nature of the engineering consultancy industry, where accuracy, accountability, and continuity are essential, the firm places strong emphasis on system stability and secure communications. As management gradually adopted a cloud‑first direction, the upcoming Exchange Server 2016 end of support (EOS) became a practical and time‑sensitive issue that needed to be addressed without disrupting ongoing, cross‑team and cross‑region operations.

At the same time, an office relocation project was underway. This further reinforced the need for a technology approach that could support both immediate operational requirements and the firm’s long‑term workplace modernisation and regional collaboration goals.

THE CHALLENGES | Managing Exchange EOS Without Disrupting Business Continuity

The customer was managing multiple changes at the same time. Legacy systems were approaching end of support, while business operations remained highly dependent on email and collaboration. An upcoming office relocation added further complexity, requiring careful alignment across technology and workplace planning.

  • Exchange 2016 end of support

The existing on‑premises Exchange platform was nearing end of support, increasing operational and security risks.

  • Business continuity requirements

Email and collaboration systems are business‑critical and could not tolerate disruption during transition.

  • Office relocation complexity

The office move introduced additional considerations around infrastructure readiness, connectivity, and workplace experience.

  • Need for a structured modernisation approach

Addressing these changes separately risked fragmented decisions and long‑term misalignment.
